Util Auditors, LLC (“Util Auditors,” “we,” “us,” or “our”) respects the privacy and confidentiality of the organizations we serve. This Privacy Policy explains how we collect, use, store, disclose, and protect information in connection with our proprietary Views360 platform and related utility audit and cost-savings services.
- Scope of This Policy
This Privacy Policy applies to information collected through Views360 and in connection with related services provided by Util Auditors.
Views360 is a business-to-business platform used to support utility audits, cost reviews, project tracking, audit documentation, savings analysis, and reporting. Views360 is not intended for use by children, individual consumers, or the general public.
- Information We Collect
In connection with providing services, we may collect or process the following types of information:
Client Organization Information
This may include organization name, business address, service locations, department information, and general account or project information.
Contact Information
This may include the names, titles, email addresses, phone numbers, and business contact details of authorized client representatives.
Utility, Vendor, and Audit Information
This may include utility account numbers, vendor account numbers, meter numbers, service addresses, utility usage, billing history, tariff or rate information, tax information shown on invoices, contract details, savings findings, audit notes, refund opportunities, recommendations, and related project details.
Documents and Files
Clients may provide invoices, utility bills, billing histories, vendor documents, supporting records, and other audit-related files. These documents may be stored in secure third-party document storage systems, such as Citrix ShareFile, and may be referenced, summarized, or displayed within Views360.
Platform Usage Information
We may collect technical and usage information related to access and use of Views360, including login activity, user activity, browser type, device information, IP address, timestamps, and system logs. This information is used for security, troubleshooting, platform administration, and service improvement.
- Information We Do Not Intentionally Collect
Views360 is not designed to collect or store:
- Social Security numbers;
- Payment card numbers;
- Bank account information;
- Individual financial account credentials;
- Protected health information;
- Consumer credit information;
- Personal tax returns;
- Payroll records;
- Sensitive personal information unrelated to the services we provide.
Clients should avoid submitting this type of information unless specifically required for the engagement and approved in writing.
- How We Use Information
We use information to:
- Provide utility audit, cost review, and savings analysis services;
- Review invoices, billing histories, usage data, tariffs, rates, taxes, account classifications, and vendor charges;
- Identify billing errors, overcharges, savings opportunities, refunds, credits, rate changes, tax exemptions, and contract issues;
- Prepare audit reports, dashboards, recommendations, and project updates;
- Communicate with authorized client representatives;
- Manage client engagements and maintain project records;
- Operate, secure, troubleshoot, and improve Views360;
- Comply with contractual, legal, regulatory, accounting, and security obligations.
We do not sell client data. We do not use client data for unrelated third-party advertising.
- How We Share Information
We may share information only as reasonably necessary for the following purposes:
With Authorized Client Representatives
We may share reports, findings, documents, savings opportunities, and project information with authorized representatives of the client organization.
With Utility Providers, Vendors, or Consultants
When authorized by the client or necessary to perform the engagement, we may communicate with utilities, vendors, consultants, or other parties to validate billing information, pursue corrections, obtain records, request refunds, or support audit findings.
With Service Providers
We may use trusted third-party providers to host, store, secure, transmit, process, or support data. These may include hosting providers, secure document storage providers, email providers, IT support providers, and other technology vendors.
For Legal, Compliance, or Safety Reasons
We may disclose information if required to do so by law, court order, subpoena, regulatory authority, or legal process, or if we believe disclosure is necessary to protect rights, safety, security, or property.
In Connection With Business Transactions
If Util Auditors is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality protections.
- Third-Party Service Providers
Views360 is hosted using third-party cloud infrastructure, including DigitalOcean or a successor hosting provider. Audit-related invoices, bills, and supporting documents may be stored using Citrix ShareFile or a successor secure document storage provider.
These providers are used to support the operation of Views360 and the delivery of Util Auditors’ services. Util Auditors does not authorize these providers to use client data for their own independent marketing purposes.
- Data Security
Util Auditors uses commercially reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, disclosure, alteration, or misuse.
These safeguards may include access controls, user authentication, limited user permissions, secure hosting environments, encrypted transmission where applicable, secure document storage, and internal controls limiting access to personnel with a business need to know.
No method of internet transmission, cloud hosting, or electronic storage is completely secure. However, Util Auditors takes reasonable steps to protect the information entrusted to us.
- Data Retention
We retain client information for as long as reasonably necessary to provide services, maintain business records, support audit findings, comply with contractual and legal obligations, resolve disputes, and enforce agreements.
Upon request and subject to applicable legal, contractual, accounting, or operational requirements, Util Auditors will work with clients to return, delete, or restrict access to client-provided information.
- Client Responsibilities
Clients are responsible for:
- Ensuring that only authorized users access Views360;
- Providing accurate and complete information needed for the engagement;
- Avoiding the submission of unnecessary sensitive personal information;
- Notifying Util Auditors promptly of any unauthorized access, incorrect user access, or suspected security issue;
- Complying with applicable laws, regulations, internal policies, and data governance requirements related to the information they provide.
- Access, Correction, and Deletion Requests
Authorized client representatives may contact Util Auditors to request access to, correction of, return of, deletion of, or restriction of client information, subject to any applicable legal, contractual, accounting, audit, or operational requirements.

- Cookies and Similar Technologies
Views360 may use cookies, session tokens, or similar technologies necessary for login, authentication, security, user preferences, platform functionality, analytics, and troubleshooting.
Users may control certain cookie settings through their browser, but disabling necessary cookies may affect the ability to access or use Views360.
- Children’s Privacy
Views360 is not directed to children and is not intended for use by children. We do not knowingly collect personal information directly from children through Views360.
- No Sale of Client Data
Util Auditors does not sell client data, utility data, vendor data, billing information, platform usage data, or client contact information.
- Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our services, technology, legal requirements, or business practices. The updated policy will be posted with a revised effective date.
